Veridian IMS, a product of SANJOPS PRESTIGE PTY LTD (ACN 686 056 128) ("Veridian", "we"), respects your privacy. This policy explains what personal information we collect, why, and how we handle it when you use our website, portal and related services.

Information we collect

Account data — name, email, organisation details you provide at signup.
Usage & portal data — register entries, audit notes, settings and other content you save in the portal.
Evidence files — documents you upload to the customer evidence vault (subscribers).
Billing data — processed by Stripe; we store subscription status and plan identifiers, not full card numbers.
Technical data — IP address, browser type, logs for security and service operation.

How we use information

Provide and secure the Veridian IMS service
Authenticate users and enforce subscription access
Send service emails (welcome, trial reminders, account notices)
Improve reliability and support customers
Meet legal and regulatory obligations

Storage & processors

Data is hosted on Supabase (database, auth, storage) and may be processed by Stripe (payments), Resend or similar email providers, and Vercel (hosting). These providers act under contractual safeguards. Evidence vault handling is described separately in our Evidence Vault Data Statement.

Retention

We retain account and portal data while your subscription or demo is active and for a reasonable period afterward so you can export records or re-subscribe. You may request deletion subject to legal retention requirements.

You may access, correct or request deletion of personal information by contacting hello@veridianims.com. Australian Privacy Act rights apply where relevant.

Security

We use industry-standard measures including encrypted transport, authenticated access controls and row-level security on customer data. No online service is completely risk-free; please use strong passwords and limit shared accounts.
